European aid for the digitization of SMEs

The Digital Kit Program (previously called Digital Toolkit) aims to finance the costs of digital transformation of small and medium enterprises, through a set of digital tools related to digital marketing, electronic sales, digital customer management, logistics and digital warehouses, ERPs, CRMs, etc.

Who is it for?

The Digital Kit is an initiative of the Government of Spain, which aims to subsidize the implementation of digital solutions to achieve significant progress in digital maturity.
 

The program included in the Recovery, Transformation and Resilience Plan for Spain, is aimed at SMEs and Self-Employed and is aimed at the implementation of certain basic digitization packages, called DTK Packages, which allow them to make significant progress in their Level of Digital Maturity.

Beneficiary segments

Segment I. Small businesses between 10 and 50 employees: Bonus 12,000 euros 

Segment II. Micro-companies between 3 and 10 employees: Bonus 6,000 euros

Segment III. Micro-companies with between 0 and 3 employees: Bonus 2,000 euros

Requirements to apply for aid

  • Be a small business, micro business or self-employed.
  • Comply with the financial and effective limits that define the categories of companies.
  • Be registered and have the minimum seniority established
    by summons.
  • Not be considered a company in crisis.
  • Be up to date with tax obligations and Social Security.
  • Not be subject to a pending recovery order from the European Commission that has declared aid illegal and incompatible with the common market.
  • Not incurring in any of the prohibitions provided for in article 13.2 of Law 38/2003, of November 17, General Subsidies.
  • Do not exceed the limit of minimis aid (small amount)

Digital Bonus

If you meet the conditions established in the bases of the call, you will be able to have a digital voucher that will allow you to access digitization solutions.

This is an economic amount for you to manage by choosing one or more digital solutions from those offered by the digitizing agents that develop the catalog services:

Website

The objective is that you can have a web page to give you visibility on the internet:

  • Domain: the solution includes the domain of your website for a minimum period of twelve months.
  • Hosting: you will also have at your disposal the hosting of the website for a minimum period of twelve months.
  • Web page design: as part of the service you will have the structure of the web, with a minimum of 3 sections and being able to reach up to 10.
  • Responsive web: your website will adapt perfectly to any type of device.

electronic commerce

The objective is to create your website for the sale of products and/or services that uses digital means for their exchange. In addition to giving visibility to your brand, you will have an e-commerce or online store:

  • Creation of the online store or E-Commerce and registration of the catalog of
    products: you will have at your disposal a catalog in your online store, in which your products will be available. The solution includes the load of 100
    references of your products, but you can increase this number at a cost or by doing it yourself.
  • Payment methods: the Digitizing Agent that you have selected will configure and integrate the payment methods in your online store.

Social Media Management

The objective is to promote your company in social networks:

  • Management of a social network: the Digitizing Agent that you have selected to provide you with the solution will manage the profile/user in at least one social network
  • Network Optimization/Social Media Audit: will help you optimize the
    performance, analyzing different social channels.
  • Social Media Plan: you will have a social media strategy aligned with your mission and vision, so that it is relevant and connects with your potential clients and retains those users who already are.
  • Monitoring of social networks: you will have monitored and controlled
    periodically the impacts of actions on social networks to see your results and know if you are meeting the objectives of your strategy.
  • Publication of weekly posts: the Digitizing Agent will publish a minimum of 2 weekly entries (posts) on your social networks.
  • Compliance: you will be assured of compliance with applicable regulations

Customer Management

The objective of this category is to digitize and optimize the management of business relationships with your customers:

  • Customer management: you will be able to store and consult the data of each of your customers, from their registration as a business opportunity, and simulate the purchase of products or contracting services.
  • Potential Customer Management (Leads): you can register new Leads manually or by importing by file. The data associated with the Leads will allow you to manage them commercially with the aim of converting them into customers. 
  • Opportunity management: you will have the possibility to manage all the
    business opportunities that entail sending the potential client or Lead offers and budgets. In addition, you will be able to insert and/or link documents, both those sent by the client and the proposals you send them. 
  • Commercial actions or tasks: the tool implemented by the Digitizing Agent of your choice will allow you to create commercial actions and tasks, both manually and automatically.
  • Reporting, planning and commercial monitoring: you can monitor through indicators (KPIs), list of opportunities, and others, with different levels of information aggregation depending on your needs
  • Alerts: you will be able to view Customer Alerts in graphic format of different types (icons, pop-up messages, etc.).
  • Document management: the solution will include software for the management
    centralized documentation of your commercial activity.
  • Responsive design: you will have a functional interface on all types of devices.
  • Integration with various platforms: you will have APIs or Web Services
    for the consolidation of the information and data of your entire company.
  • Compliance: you will be assured of compliance with the applicable regulations.

Business intelligence and analytics

The objective of this category is to enable you to exploit your company's data to improve the decision-making process:

  • Integration of data with other databases: you will have access to other databases and comparisons with the exposed data.
  • Data storage: you will have a storage capacity of at least 1 GB per user.
  • Creation of structured and visual data panels: you will have personalized data panels with relevant data and different forms of visualization.

  • Data export: you will be able to export data to images or Excel documents, creating synergies and compatibility with different programs that you commonly use

Virtual office tools and services

The main objective of this category is to implement interactive and functional solutions in your company that allow the most efficient collaboration between your workers:

  • Collaboration in work teams: you will have assistance from the supplier in the creative ideation process or team management for the collaborative management of projects, share resources and/or knowledge, provide tools for team interaction in ideation processes or troubleshooting, as well as the configuration and customization of workflows, tasks, etc.
  • Store and share files: you will have 1 TB of storage.
  • Mobile device compatibility. Your solution will be compatible with mobile devices.
  • Calendar and agenda: it will allow you to organize a calendar and your planned tasks.

Process management

The main objective of this category is to digitize and/or automate your business processes, related to operational or productive aspects: 

  • Digitization and/or automation of processes and workflows: you will have digitized and/or automated processes such as:

    • Accounting/finance: accounts receivable/payable, asset management and generation of closings and balances, etc.

    • Billing: automation of billing processes with the generation of budgets, delivery notes and invoices.

    • Projects: control of budgets, costs, estimates, optimization of resources, etc.

    • Inventory: forecast, stock levels, shipments, distributions, returns and cancellations, etc.

    • Purchases and payments: management of purchase orders and suppliers.

    • Human resources: human resources management, payroll, etc.

    • Logistics: fleet and route management, among others.

  • Integration with various platforms: the solution will have APIs or Web Services for its integration with other tools.

  • Updatable: you will access solution updates with new versions.

  • Scalable: if your company grows or changes structurally, the solution will adapt to these changes.

  • Compliance: you can ensure compliance with the applicable regulations, specifically the Regulation that regulates the billing obligations of Royal Decree 1619/2012, as well as any applicable regulations.

Electronic bill

With this solution you can digitize the flow of issuing invoices to your customers: 

  • Invoices in structured format: you will have the possibility to issue invoices in structured formats, at least in E-INVOICE format, to facilitate automated processing.

  • Unlimited invoices: you can issue an unlimited number of invoices.

  • Unlimited Clients: You will have the ability to send invoices to an unlimited number of clients.

  • Unlimited products or services: you can create an unlimited number of billable products and/or services within the catalog.

  • Sending invoices by email: the solution implemented by the Digitizing Agent of your choice will enable you to send invoices directly by email.

  • Invoice customization: the invoices will be customizable, including the selection of your logo.

  • Periodic backup: you can make backup copies, with the possibility of a daily periodicity.

  • 1GB Storage/History of invoices: you will have a storage of at least 1GB for invoices.

  • Integration with other solutions: the solution must have APIs or Web Services for its integration with other tools, as well as allowing manual data loading.

  • Invoice expiration control: you will have an invoice expiration control system.

  • Compliance: you can ensure compliance with the applicable regulations, specifically the Regulation that regulates the billing obligations of Royal Decree 1619/2012, as well as any applicable regulations.

With this solution you will have security in the connections between the devices of your employees and the company: 

  • SSL: you will have a secure socket layer protocol to create a secure and encrypted connection.

  • End-to-end encryption: you will have encrypted communications throughout their journey, with the aim of preventing attacks.

  • Connection logs: you will be able to keep track of the devices that have connected to your private network.

  • Access control: you will have the possibility to allow the connection to your private network only and exclusively to the devices authorized by you.

  • Mobile devices: you can use this solution from mobile devices.

  • Initial configuration and security updates: you will have an initial configuration so that you can use it correctly, with the respective updates of malware signatures and other data for detection of threats in addition to the periodic security software updates required

The goal of this solution is to provide basic and advanced security for your employees' devices:

  • Antimalware: you will have at your disposal a tool that analyzes your device, its internal memory and external storage devices.

  • Antispyware: you will have a tool that detects and prevents spy malware.

  • Secure mail: you will have email analysis tools with the following characteristics. Antispam: with spam detection and filtering. Antiphishing: with detection of emails with links or malware that are suspected of stealing credentials.

  • Safe navigation: you will have insured: Content control and AAntiadware to prevent malicious ads.

  • Analysis and detection of threats: you will be able to know the behavior of known and new threats.

  • Network monitoring: you will have tools that analyze network traffic and alert you to threats.

  • Initial configuration and security updates: you will have an initial configuration for its correct use, with the respective malware signature updates and other data for detecting threats, in addition to the required periodic security software updates.

  • Special training requirements: You will have training in configuring security software, and you will have a cybersecurity awareness kit to complement the solution with human firewall skills.
